Guidelines for Presenters


Oral Session

  • Each session room is equipped with a Presentation Window. Electronic files must use one of the formats listed below
    • PowerPoint 2016 or earlier version
    • Preferred video format: .wmv or .mp4
    • Acceptable video formats (may require conversion, please allow extra time) .mov, .avi, .mpg, .mp4, .wmv
    • PDF Reader: Adobe Acrobat
    • If you bring your presentation on a USB drive, the drive should be PC formatted
  • Computers, audio-video equipment and technical assistance will be provided for speakers to test their oral presentations. Speakers will not be allowed to use their own laptops during presentations.
  • All speakers are required to check into the on-site session meeting room at least 4 hours before their presentation. It is recommended that you check in at the places as detailed below

      • All the presentation required to be submitted and checked on the Registration and Service Desk at 09:00-17:00, October 23, 12:00-13:30 & 19:00-21:00 of October 24-25.< There will be three Scientific Committee designed staffs with dedicated computer to help you.

      • If you bring your presentation on a USB drive, the drive should be PC formatted
    • Parallel Ssession Speakers:
      • Before the parallel sessions, speakers must go to the corresponding room at 12:30-13:30 or 12:40-13:10 with presentation files on a USB stick. Please go to the session meeting room as early as possible before the start of your session.
      • Please check the Scientific Program for the room number and location.
      • Each meeting room has dedicated SinoProbe staff to provide you with technical assistance.
  • Be considerate of other speakers and the audience by staying within your allotted time. The individual presentation time includes 5 minutes for discussion and changeover to the next speaker. Session chairs will hold you to the allotted time, which is essential to ensure adequate time for questions and discussion.
  • The presentations must be in English.
  • No presentations should be copied or photographed by the audience on-site for any reason.

Poster Session

25–26 October, the poster session will be open for two days for each presenter. Presentation times are 12:00–13:30 & 17:00–20:00

In the front of Villa Restaurant, in the middle of Xiyuan Hotel yard

Prepare Your Poster

  • Each presenter is provided with a 200 cm high by 100 cm wide poster board. Poster boards have a 2.5 cm frame. Dimensions of the usable work area are 150 cm high by 90 cm wide.
  • We recommend that you use 72-point bold font for the title and a 60-point font for authors and affiliations. The texts and illustrations must have large enough size to be readable from a distance of 2 meters.
  • Please do not laminate your poster to ensure that it can be recycled.

Poster Setup

  • To locate your assigned poster board, look for the sign marked with your session number at the beginning and the sequence number at the end. Each poster board will be marked with an individual paper number. Please check the Graph of Poster Session and updated online program.
  • Posters should be set up between 12:30 and 13:30 on 24 October or between 07:30 and 08:00 on 25 October.
  • Presenters must be available for at least 1 hour between 12:00 and 13:30 for afternoon sessions and between 17:00 and 20:00 for evening sessions. After the session, please leave a note on your poster board as to where you can be reached in case someone wishes to discuss your research further.

Oral Session Chair Guidelines

Replacing an empty oral slot: If there is a withdrawal from an oral session, the session conveners may request that a poster presentation from the accompanying poster session be moved to replace the withdrawn oral presentation. This can only be done to and from accompanying sessions and only with the authors’ explicit consent. Please send an email to 1437922567@qq.com with details of the withdrawn abstract, the details of the abstract that will be moved into the oral presentation slot, and the email or message where the poster presenter has given consent to being moved to an oral presentation.

Note: New abstracts CANNOT be added to fill empty slots in either oral or poster session.

Your Role as Chair

  • Use any reasonable means to stop a speaker who has exceeded the allotted time. The session must stay on schedule for both the audience and other speakers, as per the approved program.
  • Only an author listed on a paper may be a presenter. No other substitutions are permitted.
  • If a paper has been withdrawn or a speaker does not appear, call for discussion of previous papers in that session or call a recess. Do not start the next paper until the time listed in the program. Please mark any “no-show” presenters on the Chairperson’s Evaluation, which will be provided in advance of the meeting.
  • You may interrupt speakers in order to ask them to speak more audibly, slowly, or clearly, to face the audience, or to briefly explain the message of an illegible slide.
  • Speakers cannot connect their laptops into computer projectors. Speakers have been instructed to load their presentation in advance in the Speaker Ready Room.
  • As Chair, you must keep the session on schedule. Do not go to the next presentation, and do not allow the session to overrun while a projectionist is trying to solve problems.
